Alstom Digital & Integrated Systems offers a wide range of services and products related to signaling technology and infrastructure. In close cooperation with our global product competence centers, we not only cover business development, sales and tender management at our Berlin site, but also customer-oriented project management, system engineering,homolagation, documentation, mechanical integration, installation, commissioning and warranty.

In this position you will work closely with our Technical & Engineering Director D&IS DACH supporting him in all adminstrative and organisational tasks related to the department Digital and Integrated Systems and you will support in many interesting projects.

Tasks

• Draft, review and send communications to internal and external stakeholders
• Manages the internal site communication; preparing newsletter and managing the SharePoint
• Organize and prepare for meetings and events, including gathering documents and attending to logistics of meetings and site events
• Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
• Assist the team in the development of presentations for internal and external audiences.

• Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
• Takes ownership and independently lead site initiatives and improvement activities
• Assist in PMO activities and processes including project planning, intake, prioritization, initiation, execution, and training;
• Serve as a primary point of contact between the Berlin Site Director and different governance groups, including helping to coordinate the work of the different groups and providing administrative support for governance meetings
• Support the Onboarding of new employees at the site Berlin

Profile:

• University degree
• A detail-oriented self-starter with prior experience in organization, university or other administration activities
• Someone who exhibits sound judgment with the ability to prioritize and make decisions
• Comfortable in English and German communication
• Strong communication skills
• Minimum of 2-3 years experience in project management
• Energetic and eager to tackle new projects and ideas
• Comfortable interacting with high-level executives
• A team player capable of cultivating productive working relationships across the firm
• Resourceful, can-do attitude
• Thrives in a fast-paced environment
• Excellent organization and time-management skills
