We are seeking a detail-oriented and crew/guest-focused Workplace Experience Coordinator to join our team. As the Workplace Experience Coordinator, you will be responsible for ensuring a welcoming and efficient workplace environment for guests and employees. Your primary duties will include managing the front desk, overseeing the reception area, maintaining essential inventory, handling incoming and outgoing packages, sorting mail, managing the office email, assisting with maintaining storage spaces, overseeing office cleanliness during the day, and providing support for the Workplace Jira helpdesk. This role requires excellent communication skills, organizational abilities, and a strong customer service mindset.

YOUR CHALLENGE:

• Manage the front desk from 08:30 am to 5:00 pm, ensuring a friendly and professional atmosphere for all visitors and employees.
• Welcome and greet guests, employees, and vendors, ensuring their needs are met and they receive appropriate assistance.
• Oversee the reception area, ensuring it is clean, organized, and presentable at all times.
• Maintain and manage essential inventory, such as office supplies, stationery, and kitchen supplies, ensuring an adequate stock level.
• Sort incoming and outgoing packages, ensuring accurate delivery and distribution.
• Sort incoming mail and ensure its prompt distribution to the appropriate recipients.
• Handle the office email account ( office@... [Vollständig anzeigen] ), respond to inquiries, and forward messages as needed.
• Assist in maintaining storage spaces for equipment and furniture, ensuring proper organization and availability when needed.
• Oversee office cleanliness during the day, coordinate with janitorial staff, and address any immediate cleanliness concerns.
• Provide support for the Workplace Jira helpdesk, including managing and resolving tickets related to workplace experience issues.
• Collaborate with various departments to address workplace experience concerns and implement improvements.
• Maintain accurate records and documentation related to workplace experience activities.

ABOUT YOU:

• You are passionate about providing exceptional workplace experiences, delivering excellent employee and customer service, and ensuring a smooth and welcoming environment for all.
• Previous experience in a similar role, such as receptionist, office coordinator, or workplace experience coordinator.
• You have excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
• You have strong organizational skills and attention to detail, ensuring tasks are completed accurately and efficiently.
• You have proven ability to multitask and prioritize workload in a fast-paced environment.
• Proficiency in using office productivity software (e.g Google) and experience with email and calendar management.
• You are customer oriented and ideally have experience/familiarity with Jira helpdesk ticketing system or similar platforms.
• You have the ability to maintain confidentiality and handle sensitive information with discretion.
• You have strong problem-solving skills and the ability to remain calm and composed in stressful situations.
• You are flexible and adapt well to change.
