The Places Team at Cloudflare is seeking a proactive and enthusiastic Office Coordinator to enhance the daily operations of our growing Munich office. As the first point of contact for employees, guests, and vendors, you will ensure a welcoming, well-organized, and efficient workspace that embodies our culture and values.

Collaborating with teams across the region, you will support local events and programs, driving smooth daily operations with a hospitality-focused mindset and meticulous attention to detail. This role reports to the Regional Workplace Operations Manager

Responsibilities

• Be the welcoming face of the office, greeting employees, visitors, candidates, and vendors with warmth
• Collaborate with the Coworking Community team to improve the office experience and streamline processes, including maximizing space, supporting team events, tracking occupancy, and reporting maintenance issues
• Take ownership of daily operations to maintain an organized, tidy, and fully functional office
• Provide excellent onsite support by addressing employee inquiries, managing email and ticket queues, and handling administrative tasks
• Manage incoming mail, including confidential items, and assist with shipments as needed
• Support internal events, executive visits, and team gatherings, including setup, teardown, and food arrangements
• Oversee snack and lunch programs, ensuring variety and alignment with sustainability goals
• Order and maintain office and pantry supplies, ensuring spaces are well-stocked, functional, and inviting
• Manage budgets and invoices efficiently
• Partner with vendors to support onboarding, place purchase orders, and track services
• Identify and escalate maintenance or security issues, coordinating resolutions with relevant teams
• Support office moves, including desk reconfigurations and seating assignments; contribute to space planning and long-term office growth strategy
• Assist in onboarding new hires and welcoming international visitors
• Collaborate with other EMEA offices (especially Paris and Amsterdam) to ensure alignment and provide remote support as needed
• Participate in regional Places team initiatives and planning efforts

Requirements

• 2+ years of experience in office coordination, hospitality, executive support, or operations in a fast-paced environment
• Friendly, patient, and service-oriented with strong communication and interpersonal skills
• Detail-oriented and highly organized; no task is too small
• Experience supporting a growing office of 75+ employees
• Proven ability to manage vendors and handle multiple projects simultaneously
• Fluent in German and proficient in English
• Comfortable working independently and as part of a distributed team
• Proficient in Google Workspace and other productivity tools
• Experience managing budgets and using a PO platform
• Experience working with executives
• Able to commit to being onsite full-time

Nice to Have

• First Aid certification (or willingness to obtain - training provided)
• Familiarity with German occupational health & safety standards
• Experience supporting offices across regions
