• Execute and organize assistance tasks
• Communicate effectively with international colleagues and partners.
• Assist with communication in Microsoft 365.
• Creation of POs, tracking of incoming invoices, and payment through accounting (SAP / ARIBA) Purchase Requests and Ordering of requested materials and services, as well as interaction with internal and external vendors regarding ordered/requested materials and services, invoices, etc.
• Meeting room management and preparation
• Support new employee onboarding. Substitute for other team assistants and executive board assistants.
• Calendar Management (Planning all overarching management meetings and coordinating appointments) and Travel Organization (Planning and organizing business trips and ensuring accurate travel expense accounting).
• Support in General Office Administration, e.g., email inbox management and prioritization.
• Support in Organizing Internal and External Events and their supervision.
• Handling Incoming and Outgoing Mail.

• Commercial training or comparable experience preferred.
• At least 3 years of experience in a similar role.
• Experience working with cross-cultural, multinational teams preferred.
• Very good MS Office skills (Office 365, PowerPoint, Word, Excel, Teams).
• SAP knowledge is a plus.
• Excellent communication skills, organizational strength, and integrity.
• Structured work approach and confident, friendly demeanor.
• Hands-on mentality and pragmatic thinking.
• Very good communication skills in German and English, both written and spoken.
• Organizational backbone, organizational and coordination talent that keeps a cool head in hectic moments.
• High level of integrity and discretion in handling confidential information.
• Proficiency in Microsoft 365 and general willingness to learn new programs and software.
• Excellent use of AI tools like ChatGPT in daily work.
