Self-responsible coordination of the calendar by prioritizing appointments and activities in close coordination with internal and external clients, management team members
Responsible handling of the correspondence of the supervisor/ the department by drafting e-mails, forwarding the correspondence, collecting and processing required information
Ensuring the flow of information between department management and other departments within the organization and within the department
Preparation (agenda setting), implementation (transcript, time monitoring, if necessary moderation) as well as a follow-up (minutes) of the management meeting within the function, taking into account absolute confidentiality
Support in the preparation of presentations, tables, reports or preparation of further necessary information
Coordination of office activities (e.g. meeting structures, SharePoint, integrated annual scheduling, correspondence)
Active support in the implementation of communication concepts, taking an active role in creating an inclusive and positive team culture within the organization around the worl
Organization of visits of foreign guests, delegations, and coordination of the visit process and their care by appointment
Request for information, results reports and work results from specialist departments and projects
Supporting the organisation and its leadership team in identifying local stakeholder to guarantee a smooth onboarding, support for technical issues, system access, etc.

Your profile

Secretarial Diploma or an equivlant training
Strong and successful performance as executive assistance is desired
Experience in international companies are a benefit
Acting as a strong communicatior with the ability to build efficient networks in an international environment
Good knowledge on office management tools and processes
Strong IT user knowledge (MS Office, SAP, Intranet etc.)
Up-to-date knowledge of IT and digitalization
Country language and English fluent as a must (presenting, writing, reading)
Working for an international company with international standards
Travelling within the region and international across different time zones (from time to time)
