Role Summary

The Executive Assistant has extensive knowledge of the organisation and processes, understands organisation's aims and objectives and acts as first point of contact with people from both inside and outside the organisation.
The job holder supports the Vice President and the Group Office Management Team in day-to-day business by taking over responsibility for all general secretarial duties and administrative / organiza-tional tasks.

Key Responsibilities

• Responsible for efficient management and organization of front and back office, mail pro-cessing and daily business, administrational/organizational matters at Group Office
• Responsible for serving guests and customers as well as for their accommodations
• Schedules and manages all appointments as well as handling, taking and forwarding calls
• Travel bookings, preparation and verification of travel expense reports
• Invoice verification and approval as well as contract storage in coordination with Finance dept.
• Implementation, organization and coordination of legal matters, notary appointments, signa-ture checks
• Proceeding orders following the good receipts into purchase order system
• Planning, organization and coordination of meetings as well as creation and preparation of presentations
• Responsible for serving guests and customers as well as for their accommodations

Key Qualifications/Requirements

Educational/Professional Highlights

• Several years of experience as Assistant

Graduation

• Industrial Clerk, Bank Clerk or comparable commercial education

Language Skills

• Business fluent German and English language skills
