How to contribute to our vision
- Provide proactive, efficient support and disburden OF EXE PP Department Head by assisting in a variety of administrative and managerial assigned day-to-day tasks incl. managing of schedule of OF EXE PP Head.
- Support the wider OF EXE PP Team at different locations (DE, ES, DK) with day to day administrative topics and ad-hoc tasks.
- Preparation of procurement meetings incl. taking notes, ensure audit proof documentation and approvals in procurement tool
- Lead organization of onsite meeting and conferences
- Assist in all kinds of IT topics, O365, access to tools, travel related
- Coordinates and establishes all travel arrangements and reconciles travel and expense reports for Head of OF EXE PP and assist Team when needed.
- Proactive creation of meeting agendas (find topics and guest speakers for e. g. monthly team meetings)
- Prepare presentations
- Assists in integration of new office technologies and systems as appropriate.
- Act as interface between own department and IT, HR, Workers Council
- Assist in employee on- and off-boarding, introductions etc.
- Create and execute purchase orders considering SGRE principles of correct purchasing, including IT equipment and handle the invoicing workflows.
- Check working hours of team and proactively assist and act as interface in case overtime approvals from Workers Council is needed. Check and change working time schedules if needed. Assist team in all relevant Workday processes

- Keep Sharepoint updated

What you need to make a difference

- Significant years of experience from a similar position
- You need to have solid Microsoft Office skills and ideally you are familiar with SAP, Concur.
- You are a responsible person with a high level of integrity, also capable of working with sensitive and confidential data.
- As a person you have a very pro-active approach, you are self-driven, efficient, and persistent while also being open and communicative.
- Ability to work independently and as a team player in a multi-cultural environment.
- Fluency in English and German, both orally and in writing are required.
