We are looking for a highly motivated individual to support two department heads within our global IT division (Commercial Embedded IT & Data IT) and also their direct reports in their day-to-day activities. Besides supporting the two heads of department, this role will include a variety of tasks which will reflect the teams engagement in various projects and initiatives.

We are flexible with regards to working hours therefore part time applications are very welcome.

• Provide a first class PA service, such as diary and email management, arranging internal and external meetings and follow up (incl. meeting minutes) to the Head of Commercial Embedded IT / Head of Data IT
• Planning and organising business travels as well as plan and book travel and accommodation for off-site meetings including settlement of travel expenses in SAP
• Non-standard IT requests via SAP, RP1/RP4
• Run JoinerMoverLeaver process in time
• Collecting & summarising of e.g project information and review & finetuning of presentations
• Proper deadline tracking and prioritisation of tasks if needed
• Work closely with other PAs in IT and at Head of Function level on a regular basis and act as primary contact for the Cross Functional IT domain
• Budget control and analysis, including the management of team spend to ensure overall cost efficiency; Compliance with procurement policy and processes, checking of related invoices etc.
• Organisation of workshops and conferences
• Administrative support of the Head of Commercial Embedded IT / Head of Data IT
• Teamleads and their respective teams including assisting in arranging meetings, VCs and workshops, as required
• Contribute to the IT PA/TA community in activities and support
• Facilities management including Provision of office supplies, Access management and Coordination of office moves

Your powerful skills

• Proven track record as a personal assistant in an international business organisation
• Ability to communicate effectively with tact and discretion in English and German, both in written and verbal formats, with management and staff at all levels
• Ability to work self-guided in a busy, customer-oriented environment and ability to prioritise and organise work effectively, ensuring excellent attention to detail
• Highly motivated and committed, flexible in approach to work, capacity for adapting to challenging and changing work environment and deadlines
• Strong team player with excellent communication, planning and organisational skills, flexibility, ability to work on own initiative and to proactively identify solutions to problems
• Willingness to work outside the scope of his / her role and where possible assist other team members to deliver performance in the interest of the whole company
• Experience in the organisation of workshops and conferences is beneficial
