Org. Setting and Reporting
The Convention on the Conservation of Migratory Species of Wild Animals (CMS) seeks a dedicated Team Assistant to support its mission in conserving migratory species and their habitats. Join our team at the CMS Secretariat in Bonn, working alongside other international instruments such as ASCOBANS, AEWA, and EUROBATS. UNEP provides administrative functions for these Secretariats, ensuring environmental policy consensus.
This part-time position offers a unique opportunity to contribute to global environmental efforts. Reporting to the Executive Secretaries of CMS and AEWA, and under the direct supervision of the Coordinator of Information Management, Communication and Awareness-Raising Unit (IMCA), you will play a vital role in public information and administrative support.
Responsibilities
- Provide comprehensive office support and administrative functions.
- Draft responses to correspondence and communications using Microsoft Office.
- Monitor unit outputs and ensure compliance with legal, financial, and other requirements.
- Research and compile information for reports, work plans, and meetings.
- Manage phone calls and visitors, addressing information requests and inquiries.
- Offer secretarial, administrative, and logistical support for meetings and conferences.
- Assist in website maintenance by posting documents and updating content.
- Prepare presentation materials using appropriate technology and software.
- Maintain calendars and schedules, communicating relevant information to staff.
- Manage mail distribution and coordinate shipment arrangements.
- Perform general administrative tasks, including processing travel requests and contracts.
- Maintain files and databases for the work unit.
- Provide software and office equipment support.
Data Management:
- Perform data entry and extraction functions.
- Generate statistical reports and work orders using various databases.
- Assist with data collection, analysis, and preparation of data presentations.
- Assist with visualizations and updating web pages and brochures.
- Perform other duties as assigned.

Education
High school diploma or equivalent is required.
Job - Specific Qualification
Supplementary training in administration, project management, or a related field is desirable.
Work Experience
- At least three (3) years of experience in office support, administration, or a related area is required.
- A minimum of one (1) year of relevant experience is required for candidates with a first-level university degree or higher.
- Experience with an Enterprise Resource Planning System (ERP) such as SAP is required.
- Experience working within the United Nations Common system or a similar international organization is desirable.
- Experience with Microsoft Office packages, data analytics, and website content management systems is desirable.
- One (1) year or more of experience in data analytics or a related area is desirable.
Languages
Fluency in English is required. Working knowledge of German, Spanish, or French is desirable. Knowledge of other United Nations languages is also desirable.
Assessment
Qualified candidates may undergo a substantive assessment followed by a competency-based interview.
Special Notice
This is a part-time position (50%) with an initial one-year appointment, subject to extension. The appointment is a fixed-term appointment limited ("FTA-limited"). Renewal depends on mandate and funding availability. Internal candidates will retain their current appointment status. All staff are subject to the Secretary-General's authority and may be assigned to new functions. This position is subject to local recruitment. Applicants must be authorized to work in the duty station.
